To ensure performance and reliability across the platform, certain text fields in Ezekia have character limits. Many of these fields support rich text formatting (HTML), which means hidden formatting characters can contribute to the total character count.

Below is an overview of the main character limits and guidance on how to work with longer content.


Notes

  • Maximum character limit: 65,000 characters
  • Practical usable limit: 50,000-60,000 characters
  • Formatting: Rich text (HTML)

Because Notes use rich text formatting, hidden HTML characters (such as paragraph tags and styling) count towards the total character limit. This means very long content, for example interview transcripts, may paste successfully but fail to save if the limit is exceeded.

As a rough guide, 65,000 characters equates to approximately 18-22 pages of A4, depending on formatting and spacing.


Custom Fields (Paragraph)

  • Maximum character limit: 10,000 characters
  • Formatting: Rich text (HTML)

The same HTML formatting behaviour applies, so the practical limit may be slightly lower than the maximum.


Compliance Email Templates

  • Email body: 10,000 characters
  • Subject line: 500 characters
  • Formatting: Rich text (HTML)

If a compliance email template fails to save or send, please check both the body and subject line lengths.


Best Practices for Long Content

When working with long-form content such as interview transcripts or detailed notes, the best approach depends on whether the content needs to be searchable within Ezekia.

  • If the content needs to be searchable:
    • Keep the text directly in Notes or custom fields.
    • If the content is too long to save as a single note, split it across multiple notes.
    • This ensures the text remains searchable via Ezekia’s search and Query Builder.
  • If the content does not need to be searchable:
    • You can attach documents directly to the record in Ezekia, such as Word files or PDFs.
    • This is ideal for storing full transcripts or large documents without hitting character limits.
    • Please note: attached files are not searchable within Ezekia.
  • External storage:
    • Documents stored externally (e.g. SharePoint or Google Drive) can be linked from Ezekia.
    • As with attachments, externally hosted content is not searchable within Ezekia.
  • Use Notes for summaries:
    • A common and effective approach is to attach the full document (or store it externally), and add a concise, searchable summary in a note.
  • Leverage AI where appropriate:
    • AI can be used to summarise long transcripts or interview notes, allowing you to store key, searchable insights in Ezekia without exceeding character limits.


Tip:
 If you’re unsure whether a character limit is causing a saving issue, splitting the content into two notes is often the quickest way to confirm.
