Administrators can add, amend, delete and re-sequence most tags used in the system.  Tags are amended using the 'Gear' con in the top right had corner of the following pages. Most tags can be maintained in several different places - you can use any available location to make amendments; it will have no bearing on how the tags work.

Most tags are maintained in a similar way:


Tag Creation

1. Enter a new name for the tag.  Keep in mind that if the tag text is longer than the available display width, the user will not see the whole tag (the full text will be available if the user moves the mouse over the tag).

2. Choose a colour. Avoid light colours, as white text may be difficult to read on a light background.

3. Click the plus sign to add the new tag.


You will be able to see the tag immediately, but any other users will need to sign off and on again to see it. 



Tag Amendment

1. Click the pencil icon on the tag you want to change. 

2. Change the text in (2) to the new value.

3. You can change the colour if you want to.

4. Save the change with the tick icon.


Any records that have the tag will change to show the new tag wording. It is recommended that you do not change the wording of the 'Delete' tag, as this is used by the system.


Important Consideration when amending tags.  If you change a tag, anyone that already has the tag will instead show the new value.  This means that unless the meaning of the tag is similar, you should manually switch any existing holders of the tag to have a different value before you rename it.  This is especially important for Pipeline Tags.  You can use Query builder and the spreadsheet import process to help change records in bulk. 


Some tag types allow a default value to be set - these are used as the initial tag that is set on a record when it is first created. In this example, 'Identified' is a default company tag, but clicking the white checkbox shown will change the default to 'Target'.



Changing the sequence of tags


The sequence used (from top left to bottom right) is the order the tags will appear in the list. Click on the tag you want to move and hold the mouse down. Drag the tag to where you would like it to appear in the list and drop it.  


People tags: The sequence is important, as if a person record has more than 3 tags. In this case, only the first 3 tags will be displayed automatically.  The tags nearest the top left in the maintenance screen are the ones that have priority and will be displayed.


Pipeline tags: Maintaining pipeline tags is slightly different to other tags. Instructions for this can be found in this FAQ page


Deleting Tags

Most tags can be deleted. 

1) Click the cross icon on the tag you want to delete. If the tag does not have a cross icon, it is used by the system and cannot be deleted.

2) Confirm that you want to delete the tag. Tags are permanently deleted and are removed from all records that have them.
