There are two main options when sending bulk emails from Ezekia, depending on the size of your audience and the level of control you need.
1. Sending directly through Ezekia
You can send a bulk email directly from any list of People in Ezekia, whether this is from a project or a filter set on the People page. We recommend limiting this to 100 recipients or fewer to reduce the risk of being throttled or flagged as spam*.
When viewing a list of people, you will see a 'Select all' or 'Select top 500' tick box above the first person. Once you've ticked that or selected the individuals you'd like to email (by using the ticks in the bottom left of their card), you'll need to click 'Send emails' from the menu options:

This will open up an email window where you can compose your message. In the top right corner of this window, there is a ? icon where you can see the email keys that can be used in Ezekia. For example, %FIRSTNAME% will send an individual email to all included and automatically fill out their first name to look personalised. You can also save email templates.

Choosing Which Email Address Is Used
When a person has multiple email addresses, Ezekia will always send to the primary email address on their profile. There is currently no option to manually choose an address at the point of sending.
If you have rules such as:
Job details → private email
BD → work email
You may wish to ensure the appropriate address is set as Primary before sending. This is best suited to smaller, controlled sends.
2. Using a third-party email marketing provider
For larger (over 100 recipients) or more sensitive campaigns (where you need to control which email address is used), you can export your data from the Query Builder in Ezekia, and then import it to a email marketing platform such as Mailchimp and send from there. It is possible to integrate mass marketing software such as MailChimp with Ezekia via Zapier, a third-party integration platform. They run a 7-day free trial so it might be worth exploring.
*Why We Recommend Caution With Large Sends
Microsoft’s Graph/Outlook API has throttling mechanisms to prevent spam and ensure fair usage. These limits help maintain the service’s performance and reliability. The two main reasons for throttling are:
- Sending more than 4 concurrent requests.
- Exceeding a total of 150 MB of data uploads within a 5-minute period.
When these limits are reached, the API will temporarily restrict further requests which may prevent as errors in Ezekia or via failure notifications by email. While there are automatic retries in place, they might not always be sufficient to handle the load so you may need to manually send some email again if this has occurred.
