If you decide to leave Ezekia or pause your subscription temporarily, there are several ways you can take your data with you or have us retain it for future use. All extraction options are free of charge. Just let us know which format you prefer and whether you need the extract on a specific date or “as soon as possible”.


Option 1: Full SQL Data Backup (with attachments)

We can provide a complete SQL backup of your database together with all related file attachments (CVs, documents, images, etc).
 This is the best option if:

  • You are moving to another provider and want them to import your data.
  • You want to preserve the internal structure of the database as fully as possible.

Key points:

  • This method maintains most relationships between records (e.g. links between People, Companies, Assignments, Opportunities, Notes, and attachments).
  • Other providers may charge you separately to import this into their system.
  • The data is not “human-readable” in the way spreadsheets are - it is meant for technical import rather than manual review.
  • Scheduling this extract may take a few days.


Option 2: Excel Extracts (People, Assignments, Opportunities, Companies)

We can also export your data into a collection of Excel files yourself by using the Query Builder.
 This option is ideal if:

  • You are not moving to a new provider.
  • You plan to re-import the data yourself into another system.
  • You simply want a readable backup of your information.

Important limitations:

  • Attachments are not included.
  • Some data richness will not transfer e.g. profile photos, company logos, and similar assets.
  • Records with more than 20 notes will only include the most recent 20 in the extract.
  • Many relationship links (e.g. cross-linked notes, historical assignment activity, relationship structures) will not fully reconstruct if imported elsewhere.


Option 3: Pausing Your Ezekia Subscription

If you are planning to return in the future, you can choose to pause your subscription rather than fully cancel.

With this option, we retain your full database exactly as it is so it’s ready for you when you come back.

Data retention charge:

  • £25 per user per month (this is the standard charge but may increase depending on storage volume).
  • This ensures that all your data remains securely stored, intact, and immediately recoverable.

Benefits of pausing rather than exporting:

  • You keep everything - all notes, relationships, tags, attachments, images, and logos.
  • No loss of historical activity or linked data.
  • No need to re-import or rebuild anything when you return.
  • Ideal for short- or medium-term breaks (e.g. 3-12 months).
