You can import from either CSV or standard Excel files. The spreadsheet import process can now populate people, assignments, financial and company records, including custom fields.  Custom field import details are at the bottom of this article.


Assuming you already have a list of records in a spreadsheet, the first step is to make sure that all the column headings in the spreadsheet match those that Ezekia expects – First Name, Last Name, Email, etc.  


As an administrator, you can find the list of allowed column names (via the 3-line icon in the top right corner) in Settings, Import.  Click the ‘Column Headings’ button (1) shown in the image below, to see the field name list.


At the bottom of this article, you will a spreadsheet attached, with the allowed field names and a sample record populated.  If you prefer, you can use this file as a template, deleting any columns that are not required.



Once you have the right headings on your spreadsheet, you can import either as an Excel .XLSX file or as a CSV file (for the latter, you should save it as a CSV UTF8 file).  If you use an Excel file, each sheet in the spreadsheet, starting from the first in the tab list, will be processed. Please note that you should not attempt to import more than 5000 records in one import.  If you have more than 5000 records, you should split the import file into smaller ones 


Use the ‘Select file’ button (2) to select the import file.  If you are using a CSV import file, you need to select if it is comma or semicolon delimited (this setting has no effect on an Excel file).  


•          If you want to import the profiles directly into an assignment, opportunity or list, you need to  enter/pick the assignment you want them to go to using field (3). For assignments only, you can include the assignment unique ID in the import spreadsheet.

•          If you don't want matching to be performed for people, companies and assignments, switch on the necessary toggle in (4).  Ordinarily you would leave these all off.

•          If you want the companies mentioned on the profile to be created if they are not already on the system, you should turn on the checkbox (5)


Finally, click 5 to perform the import.  You will see the status of your import at the bottom of the screen, and you will get an email when it is complete.


You can use spreadsheet import to just added existing records to a list, assignment or opportunity. To do this, use query builder to extract a list of everyone you want to move. You only need the Unique Person ID field (although you can have other fields if you need to review the information first). When you have the spreadsheet, change the column heading of the unique ID field to ID:Person. Then follow steps 1–5 above, selecting the name of the project you want to import those records to at step 3.

 

If you have any problems, send a small sample of the import file to us so that we can check your column headings.


Custom Field Layout

The column names for custom fields are as follows:

Custom: Company: XXXXX

Custom: Person: XXXXX

Custom: Assignment: XXXXX

(where in each case, XXXXX exactly matches the name of a custom field in the respective area)


The different types of custom field formats need data to be entered consistently.

• Date: use ‘yyyy-mm-dd’.

• Lines/Paragraph: will accept any text.

• Dropdown: should be text which is an exact match to one of the options.

• Slider:

   - Range: Should be a whole number.

   - Multiple: Should be text which is an exact match to one of the options.

• Toggle button: Will accept true/false, or yes/no.

• Toggle button list: A comma separated list of the options to be turned on. For example, A, C would result in toggle buttons A and C being set. 

• Rating: A whole number

For ratings and range sliders, if the number provided is lower than the minimum, the minimum will be selected, and vice versa for maximums.
