Custom fields allow you to add your own fields to the standard Ezekia fields. You can add as many different custom fields as you want, and they can be added to projects, companies and people records. There are many different types of custom fields for you to choose from. People records can be 'scoped' so that their values are specific to assignments.
You can update the values of custom fields on projects, companies and people records by clicking on the custom tab. On people records, administrators can elect to have custom field values visible on the main Info page.
Custom fields are easy to include in custom reports and in query builder extracts.
Access to set up
Only an administrator can create or amend custom fields. On the main projects, companies and people click the gear icon in the top right-hand corner. The next panel will have a 'custom fields' tab.
Once a custom field has been added, the 'Custom' tab will become visible to users on the records of that type.
Custom Field Types
There are 11 different field types available:
Category | Allows you to re-use the standard list of Industries or Job roles, in a custom field. |
Date selector | Select a valid date. |
Dropdown | Allows the user to select a single value from a predefined list. Admins can configure a dropdown list containing as many entry options as they want. Click the configure button to add more options, and drag the values around to put them in the preferred order. More values can be added to the list later if necessary. |
Line | A single line of free text. |
Link | A single URL value. When used, the entry is clickable. |
Multiselect | Allows the user to select a multiple values from a predefined list. Admins can configure a list containing as many entry options as they want. Click the configure button to add more options, and drag the values around to put them in the preferred order. More values can be added to the list later if necessary. |
Number | Allows the user to only enter a numeric value. |
Paragraph | A larger box of free text. The text box size is preset, but if there is too much text to fit, scroll bars will appear automatically. Paragraph fields can hold up to 10000 characters. Users can use 'Rich Text' features to add different fonts, colours, bold, etc. |
Rating | Allows users to select a number out of x values (where x is configurable between 2 and 10 by the admin). These fields are shown as a group of stars. |
Slider | Allows a slider to be used to select a value. Values can be configured by the admin to be within a specific range, or individual text values can be set to each position on the slider. |
Toggle button | A simple Yes/No button. |
Entering custom fields
On the custom field administration tab, click the '+Field' button to add a new custom field. The '+Group' button is used to add separator lines to aid clarity for users.
- This is the field type selector. Select one from the list. This cannot be changed once the field is in use.
- Enter a name for the field. This is what will appear to the user, so make sure it is unambiguous, not overlong, and it should not contain commas (as these interfere with some integrations). You can change the label later if needed.
- The profile section only appears on people custom fields. You can select where you would like the completed values to appear on the person info page. If you leave it blank, it will not appear on the info page but can still be seen on the custom tab. You can change this later if needed.
- The scoped icon will allow you to make people custom fields scoped (see the next section). By default, fields are not scoped. This cannot be changed once the field is in use.
- Use this icon to drag the custom field to the place in which you would like it to appear in the custom page. You can change this later if needed.
- Project based custom fields have an additional icon. The eye icon allows you to select which project types (assignments, opportunities or lists) the custom field is available on. Untick the project types where the custom field should not appear. This will only be possible if the field has not been marked as mandatory on that project type.
Scoped Custom Fields
Scoped custom fields are on people records and allow more than one value to be saved. You can have one value relating to one assignment, and another value relating to a different assignment. If you run custom reports on scoped fields, the results will be produced with the context of the assignment it is on.
Note that, you cannot turn an existing plain custom field into a scoped custom field – you will need to create a new field instead.
When creating the new field, click the icon shown below to make it scoped. On the next page, choose ‘Assignments as candidate’ from the list.
When completing a scoped custom field on a profile, you need to enter the assignment it relates to (1) then entering the required value (2). If you want to enter a second value for another assignment, click (3). The image below also shows how it looks when multiple values have been entered.
